As Rachel Shenton Video Editor, I am committed to maintaining the trust and confidence of my clients and anyone who contacts me. I will never sell, rent or trade contact details or personal data with other companies and businesses for marketing purposes, and all personal data shared with me will be kept absolutely secure.
This Privacy Policy describes how and when I collect, use, and share information when you purchase editing work from me, contact me, or otherwise use my services through Rachelshenton.co.uk, direct email or any of my affiliated social media pages (including Facebook, Instagram, Etsy and LinkedIn).
This Privacy Policy does not apply to the practices of other organisations that I do not own or control, such as the websites listed above or any third party services you access through them. Information I Collect
In order to carry out the work required, you may need to provide me with certain information such as your name, email address (to communicate about the project), postal address (to send/receive hard drives), payment information, reference materials, raw footage, and the details of the service that you are purchasing (in order to complete the project requested).
You may also choose to provide me with additional personal information if it is necessary (such as details about the actors, crew, or others involved in the film).
I do not collect any information from you that I do not need in order to provide and oversee the editing service.
By providing me with this information you agree that you have all legal rights to all original video material and information supplied, and have obtained all necessary consents required by The General Data Protection Regulation (GDPR) (EU) 2016/679.
Why I Need Your Information
I rely on a number of legal bases to collect, use, and share your information, including:
As needed to provide my services, such as when I use your information to complete editing work, to settle disputes, or to provide customer support.
When you have provided your affirmative consent, which you may revoke at any time.
If necessary to comply with a legal obligation or court order or in connection with a legal claim, such as retaining information about your purchases if required by tax law.
As necessary for the purpose of my legitimate interests, if those legitimate interests are not overridden by your rights or interests, such as providing and improving my services. (I use your information to provide the services you requested, and in my legitimate interest to improve my services.)
I use your information as necessary to comply with my obligations under the Policies and Terms of Use of any organisation involved in completing the work (i.e. editing software such as Final Cut, hosting companies Dropbox, Google Drive and WeTransfer, invoicing software Zervant, and communication software such as Gmail and Facebook.)
Information Sharing and Disclosure
Confidentiality for my customers is important to me. I only share your personal information for very limited reasons and in limited circumstances, as follows:
Service providers. I engage certain other trusted companies to perform functions and provide services, such as delivery companies (Royal Mail), secure cloud hosting and transfer sites (Dropbox, Google Drive, WeTransfer), other websites and companies for communication (Gmail, Facebook, Etsy, Instagram, LinkedIn, WhatsApp) and invoicing (Zervant). I will share your personal information with these companies, but only to the extent necessary to perform these services, and in a secure manner.
Compliance with laws. I may collect, use, retain, and share your information if I have a good faith belief that it is reasonably necessary to: (a) respond to legal process or to government requests; (b) enforce my agreements, terms and policies; (c) prevent, investigate, and address fraud and other illegal activity, security, or technical issues; or (d) protect the rights, property, and safety of my customers, or others.
Data Retention
I retain your personal information only for as long as necessary to provide you with my services and as described in my Privacy Policy. However, I may also be required to retain this information to comply with my legal and regulatory obligations, to resolve disputes, and to enforce my agreements.
Information required for UK Tax Law will kept for a period of 6 years.
Contact information will be kept for a period of up to 4 years.
All video footage and materials (such as photographs, logos, artworks, audio and text) other than those stated above will be deleted after a period of 30 days, once the work is complete. Any of the data mentioned above can be held for longer periods at the client’s request.
I keep all personal information (including contact details, payment information and footage materials) on encrypted hard drives and secured encrypted devices, and held in my secure limited access studio, along with any paper copies of information. Any hosting and transfer services used will be compliant with all current EU data laws.
Transfers of Personal Information Outside the EU
I may store and process your information through third-party hosting services in the US and other jurisdictions (Google Drive, Dropbox). As a result, I may transfer your personal information to a jurisdiction with different data protection and government surveillance laws than your jurisdiction. If I am deemed to transfer information about you outside of the EU, I rely on Privacy Shield as the legal basis for the transfer, as Google Drive and Dropbox are Privacy Shield certified.
Cookies
I do not use or collect website cookies on rachelshenton.co.uk
Other companies (such as Etsy, Facebook, LinkedIn) may collect cookies or other analytical information when you visit my pages on their sites. You can check up on their privacy policies for more information on this, using the links provided at the bottom of the page.
Your Rights
You are entitled to view, amend, or delete the personal information that I hold.
If you reside in certain territories, including the EU, you have a number of rights in relation to your personal information. While some of these rights apply generally, certain rights apply only in certain limited cases.
Access. You may have the right to access and receive a copy of the personal information I hold about you by contacting me using the contact information below.
Amend, restrict, delete. You may also have rights to amend, restrict my use of, or delete your personal information. Other than in exceptional circumstances (like where I am required to store data for legal reasons) I will generally delete your personal information upon request.
Object. You can object to my processing of some of your information based on my legitimate interests and receiving marketing messages from me after providing your express consent to receive them. In such cases, I will delete your personal information unless I have compelling and legitimate grounds to continue using that information or if it is needed for legal reasons.
Complain. If you reside in the EU and wish to raise a concern about my use of your information (and without prejudice to any other rights you may have), you have the right to do so with your local data protection authority.
